How to schedule birthday greetings for your entire client list in minutes

Keeping in touch with clients doesn't have to take hours of manual work. With ClientBirthday, you can schedule personalized birthday greetings for your entire client list in just a few minutes.

Whether you have 50 clients or 5,000, the process is the same: import your recipients, select them, choose a template, review your greetings, and schedule them. Once scheduled, ClientBirthday automatically sends each greeting on the recipient's birthday throughout the year.

Follow the steps below to complete the setup.

Step 1: Import your recipients

Open your News of the Past account and go to the Recipients page.

Import your contacts from a CSV file. You can upload your entire client list at once.

What to do:

  • Open the Recipients page
  • Click Add Recipients, then Import Recipients
  • Upload your file

Step 2: Select your recipients

Select the clients you want to include in your birthday greetings.

You can select individuals or your entire list.

What to do:

  • Select recipients from the table
  • Or select all recipients
  • Click Create Greetings

Step 3: Choose a template

Choose a template that defines how your birthday greetings will look.

Make sure the send time is set to Birthday Date.

  • Select a template
  • Select Email as the greeting type
  • Confirm send time is set to Birthday Date
  • Click Next

Step 4: Review your recipients

Review the list of recipients before generating greetings.

Make sure everything looks correct before continuing.

  • Correct recipients selected
  • No missing or duplicate entries

Step 5: Preview and send your birthday greetings

Preview the actual greetings your clients will receive, then schedule them.

This is your final step before everything is sent.

What to do:

  • Review generated greetings
  • Check formatting and personalization
  • Click Send Emails to schedule everything

Once sent, your birthday greetings are scheduled and will automatically be delivered on each recipient's birthday.

Manage scheduled greetings

After scheduling, you can always manage your greetings.

You can:

  • View scheduled greetings
  • See exact send dates
  • Cancel or reschedule emails
